Responsibilities

  • Coordination of office space in Warsaw, managing relationships with landlord

  • Maintaining the office condition and arranging necessary repairs

  • Coordination of orders for stationary and office services including daily cooperation with suppliers, cost settlement, cooperation with procurement and finance teams

  • Company car fleet management, cost settlement and support for users in Poland

  • Cooperation with mobile phone provider, support users

  • Administration of office documents and correspondence

  • Organization of business trips and events

  • Supervising of occupational safety, fire protection, first aid (incl. design & delivery of trainings), coordinate and support for employees in all activities on security in the buildings (Access control, video surveillance, etc.)

  • Coordination of reporting of CO2 emission in Poland in cooperation with compliance and data for Energy audits

  • Cooperation and support for Administration and HR team located in all branches in Poland

  • Support in preparation of PP presentations for top management

  • Preparation of sales reports

  • Support in organizing Regional Events

  • Communication within Eastern European markets, company subsidiaries

  • Translations of materials into English

Competences

  • University degree preferred in Admin or equivalent experience

  • 2 years + experience in administration, fleet management in an international company (100+ employees)

  • Fluent Polish and English languages skills

  • Solid experience in organization of travel processes, events and internal communication

  • Strong organizational and multitasking skills

  • Strong communication and interpersonal skills; distinctive ability to interact with all levels of management and corporate headquarters

  • Result driven personality

  • Team player, resilience, and strong sense of responsibility

  • Customer-oriented
